Project Coordinator

We are currently seeking a confident and motivated Project Coordinator to work as a key member in our biggest ever project!

This role is for an initial 6-month duration and is available on a fixed term contract.

In your new role as a Project Coordinator you will work closely with the Programme Manager and support the delivery of this vital project in an administrative capacity. With your enthusiasm and attention to detail you will make yourself an essential part of the team.

The project you will be joining will be very demanding, so you will need to be willing to take on a challenge and use your initiative to prioritise and work effectively under pressure. Due to the challenging nature of this project, you must have a strong awareness and understanding of general project management methodologies and project lifecycles. As a Project Coordinator you will need to be self-motivated and able to engage and motivate a wide variety of stakeholders at varying levels of seniority.

What you will be expected to do in the role:

Governance and Control:

  • Organise (and schedule) Programme meetings and workshops with Boards, Steering Groups, Workstream leads and other Programme stakeholders
  • Provide administrative support for programme meetings including capture of decisions, actions and RAID items
  • Regular update of programme risks, assumptions, issues and dependencies (RAID) logs
  • Coordinate collection of feedback from the business in relation to PMO products/services e.g. project templates and governance processes

Planning and Reporting:

  • Update and administer the programme plan as required with updates from Workstream / Project Managers and the outcomes of programme and Committee level meetings and workshops.
  • Prepare monthly reports for Board meetings
  • Support preparation of packs for meetings and ensure distribution in a timely manner

Post-Project

  • Feeding carry-forward items back into the project plan and disseminating these lessons learned across the company.
What we are looking for from you:

Must have

  • A qualification in Business Administration, Project Management or Leadership and Change Management or other relevant academic qualification
  • Experience in managing a PMO or managing programmes or projects in a complex and sensitive environment
  • The ability to work closely and collaboratively with others.
  • Ability to take on responsibility and use initiative to prioritise and work effectively under pressure through initiation and development of new ideas
  • Excellent administration skills with attention to detail and the ability to effectively proof read
  • Effective time management skills with the ability to work to deadlines
  • Strong awareness and understanding of general project management methodologies and project lifecycles
